Name and description of the hiring department:
The candidate is required to work with multiple computer systems to communicate with clients, subcontractors and the various internal stakeholders to meet different request, making follow-up and clarify the details of orders and invoices. Duties include the continuous updating of data to customer records and the issuing of work order. The main task of the candidate will be to provide support to the Cabling design specialist in their daily work and process orders.
Job duties / accountabilities:
* Maintain control of the process from beginning to end for clients to communicate with other services and partners to coordinate a response tailored to specific customer needs.
* Prepare and make arrangements for ordering of equipment and subcontracting while meeting deadlines, and track orders until execution: prepare proposals and contracts accurately.
* Perform pre-sales activities , point of contact with sales, cabling specialist and supplier
* Participate in project management and coordination activities: meeting with Cabling Specialist, CSE, subcontractors and vendors to clarify the needs and problems;
* Receive from Cabling Specialist customer documents and PO.
* Ensure that the orders meets the business requirements (contract / purchase order, special discount, warehouse, shipping and billing information).
* Check the date of delivery of the solution and coordinate dates in Maestro and SAP.
* Monitor the arrival time for delivery of equipment and put the Maestro system to date.
* If the date of delivery changes, check the availability of equipment from the supplier and coordinate activities with internal (Progistix , vendors) and external clients.
* Is the liaison between the Cabling Specialist team, subcontractors, Bell's internal team and Progistix to facilitate order processing.
* Ensure the execution of the order and follow up with the customer to ensure his satisfaction.
* Verify all change order and client's approval to ensure the accuracy of billing.
* Detect and correct any errors.
* Transmit the command to the billing.
* Addressing inquiries from customers regarding billing.
* Take calls from customers.
* Ensure at all times that the SOX compliancy rules are maintained with each transaction.
* Audit report and process subcontractor invoicing
* Perform credit and billing in SAP
* Issue SUB and Material PO
* Our main system are : SAP- UDB - Maestro -GPI
Essential Qualifications / competencies:
* Ability to multitask
* Ability to learn new system quickly
* Abilities in interpersonal relationships required to be able to empathize with clients who raise concern and/or complaints
* Research skills: knowledge gathering information from various sources to track and update commands
* Attention to detail to ensure the accuracy of the information and keep accurate records efficiently
* Intermediate knowledge Ms Excel (to create spreadsheet for billing purposes)
* Intermediate knowledge of Ms Outlook
* Intermediate knowledge of Ms Word (to create tenders for contract)
* Assiduity
* Attention to detail to ensure the accuracy of the information and keep accurate records efficiently
* Ability to extract data while talking on the phone with clients.
* Ability to work with tight deadlines
* Strong planning and organization

* Knowledge of products and connectivity associated with cabling and UPS
* Written Communication Skills for writing emails and notes.
* Ability to read blueprints
* Knowledge or Maestro an asset
