The Fleet Facility coordinator will be responsible for the supervision of Dome Productions’ afternoon shift daily driver activities and assigned mobile vehicles. These responsibilities includes overseeing of the drivers’ daily schedules, dispatching of mobiles, after hours driver support, and ensuring that safety and proper maintenance of the equipment is adhered to in conjunction with the Fleet Managers maintenance schedules.
* Thorough knowledge of principles and practice methods used in fleet management and vehicle maintenance standards.
* A thorough knowledge of provincial and federal policies, laws, and regulations pertaining to “motor carriers” and “hours of services” as well as the American local, state and federal regulations.
* A thorough knowledge of DOT compliance/reporting as it relates to the Dome Productions fleet.
* An ability to respond to production and operational needs in a practical cost-effective manner.
* Supervises preventative maintenance programs, periodically reviews repair work and procedures to ensure accuracy, completeness and efficiency.
* An ability to analyze problems, identify alternative solutions, propose actions and implement recommendations.
* Liaise with leasing fleet suppliers as well as outside vendors and service providers for maintenance and repairs to provide best value and performance.
* A complete understanding of facilitating cross-border movements between Canada and the United States.
* Support the organization’s operation and maintenance of its mobile fleet
* Maintain vehicle and equipment preventative maintenance programs
* Directs the service, repair and maintenance of mobiles while working with Fleet Manager in a supporting role.
* Develops and maintains outside vendor and service provider relationships
* Plans, directs, coordinates and reviews the work plan for the assigned drivers and assigned work activities.
* Oversees DOT compliance/reporting as it relates to the mobile fleet. Interprets and applies regulatory requirements associated with the DOT and assures compliance with local, provincial (state) and federal requirements.
* Documents/files all vehicle accidents.
* Carries out coordinator responsibilities in accordance with Dome Productions policies and applicable laws.
* Provides support with Fleet Manager on the training for drivers and evaluations.
* Co-ordinates assigned activities with other departments, divisions and outside agencies.
* Meets with drivers on a regular basis to identify and resolve problems.
* Supports annual inspection programs for all fleet mobiles with Fleet Manager.
* Processes, scans and files all Ryder, Paclease trip records for Dome Fleet Tractors along with Driver event job costing inputting.
* Co-ordinate at all times drivers’ confidential information files to ensure all drivers have up-to- date abstracts, licenses, medicals and DOT Drug testing
The Fleet Facility coordinator works largely without supervision to carry out daily functions as well as the implementation of agreed-upon facilities, changes or additions. Work will be performed in a standard office environment with some travel to different sites when required.
He/she will be required to work the afternoon shift, and be available after hours to respond to emergency issues.
Qualifications
* Previous customer service experience and general automotive background.
* 2 or more years of increasingly responsible automotive experience in an administrative capacity including 1year of supervisory experience in automotive or vehicular fleet operations.
* Ability to communicate tactfully and courteously with business management officials and employees.
* Able to communicate information and ideas clearly and concisely in writing; read and understand information presented in writing.
* Ability to establish and maintain effective working relationships with those in contact in the course of work whether internal or external.
* Ability to read, interpret and apply U.S. and Canadian laws, rules, regulations, policies and/or procedures.
* Ability to assess training needs and implement the appropriate procedures
* Ability to select, supervise, train and evaluate drivers.
* Ability to analyze problems, identify alternative solutions, propose actions and implement recommendations.
* A knowledge and understanding of occupational hazards and safety procedures.
* Must be able to work in a fast paced environment and have the flexibility to change with the schedules.
* Excellent verbal and written communication skills.
* Efficient in using Word, Excel and a strong knowledge in computer operations.
* Good customer service
* Excellent attention to detail
* Well organized
* Possession of a valid Class AZ driver’s license
