The Integrated marketing Scientifics team is seeking a professional, discrete and results oriented Administrative Assistant who possesses a broad base of administrative and coordination skills in a fast paced and challenging environment to support the director and is team. As Administrative Assistant, you will assist the Marketing organization by providing full administrative duties. In this role you will represent the department to both internal and external contacts.
The position reports to: Director of Business intelligence-Residential Sales & Marketing.
Job Duties/Accountabilities:
The successful candidate will be responsible and accountable for the following:
- Processing incoming calls and mail / messages for appropriate action.
- Schedule management meetings and calls through Microsoft Outlook.
- Arranging and booking travel and meeting arrangements.
- Receiving and processing invoices
- Submit HR transactions related to departures, hires etc..
- Managing and provisioning office supplies
- Managing the mail room.
- Ensuring all office equipment is functional and prepares repair tickets as required
- Supporting employee requests pertaining to the good operation of the work place
- Maintaining employee records for subordinates (vacations, other).
- Other duties as assigned
Essential Skills/Competencies:
The successful candidate should be highly motivated, proactive, enthusiastic, results-oriented, with previous administrative assistant experience. The following competencies must be demonstrated:
- Highly developed sense of professionalism and ethics. Confidentiality / Discreet.
- Initiative and ability to work with minimum supervision. Exhibit good judgement.
- Ability to learn quickly.
- Proactive, able to anticipate potential issues.
- Good negotiation skills and ability to mitigate office situations.
- Strong organizational skills and ability to handle multiple inquiries/requests based on their respective priorities.
- Ability to clearly articulate and clarify requests.
- Strong interpersonal skills and excellent written and verbal communication skills
- Ability to operate effectively under pressure in a fast paced environment
- Computer experience is mandatory. Must have the knowledge, skills and abilities to use and operate a PC in the windows and internet/intranet environment, including, windows and navigation, file management, internet use and e-mail software (Outlook). Must have a strong working knowledge of commonly used business software, including MS Office Tools – Word, PowerPoint, Excel.
- Good general knowledge of SAP and HR Form Tools
- Bilingual (English & French)
