Name and description of the hiring department:
The candidate has to work with various information systems to process orders for equipment and services. He must communicate with the customers to answer the various requests for services, to clarify the details of the orders, contracts and the emitted invoices. The tasks include ensuring delivery of equipment and services to customers and the continuous update of the data relating to the customers’ files.
Job duties / accountabilities:
* Prepare and make the provisions relating to the orders (local, regional, national) within the set timeframes and follow through orders to completion
* Receive customers signed documents from Sales/CSE
* Ensure order meets business requirements (contract/PO, special discount, deposit, shipping and billing information)
* Validate equipment due date and coordinates dates
* If expedited due date, check with Vendor for equipment availability and coordinate with internal partners (Control Center, Field Ops, ADS/ADA, BTS) and external customers
* Coordinate/validate due dates and activities and confirm with customer.
* Interface with Sales/CSE, Design Center, Control Center and Project management to facilitate the order.
* Ensure equipment delivery
* Ensure order completion and follow up with customer to ensure satisfaction.
* Consolidate addendums and customer approval to ensure billing accuracy.
* Identify and correct all discrepancies.
* Release order for billing, verify compliance to company policies.
* Responsible for customers billing inquiries
* Ensure at all times compliance to the SOx controls applicable for any transaction carried out.
Essential skills / competencies:
* MS Excel Intermediate
* MS Word Intermediate.
* Bilingual (French 5-5-5 & English 5-5-5) - Fluent in the language with no significant limitation.
* Experience in coordination and relationship with partners and suppliers.
* Verbal communication skills are required to clarify details related to orders and contracts.
* Written communication skills are required to transmit information by electronic email.
* Interpersonal skills are required to empathize with clients who raise problems or complaints.
* Information-seeking abilities are required to obtain information from various sources regarding the follow-up and to update the orders.
* Attention to detail is required to ensure accuracy of information, and to effectively maintain updated records
* Sensory demands pertain, principally to the need to retrieve and input data while communicating to clients during a client call.
* Ability to work on a very short term schedule
* Ability to manage priorities and ambiguity, high organizational planning skills
* High level of adaptability to changes.
