The role:
The Customer Experience Project and Process Delivery team within Customer Operations is currently seeking a highly motivated and technically experienced Manager, PMO to oversee overall processes and functions of the Project Management Office and lead future development of the department in line with world class standards. You will be responsible for providing a centralized approach to improving overall project efficiency by gating and managing projects through standardized processes.
The Manager PMO will manage resources, coordinate project demands between several functions, strive to standardize and introduce economies of repetition in the execution of projects to ensure on-time and on budget delivery. You will also assist in the management of key initiatives and programs supporting the strategic objectives of the organization. Your background and experience in project management will be leveraged to ensure the operational issues of the PMO are proactively managed. You will also be accountable for enhancing existing project management tools and platforms to simplify and improve the experience for project managers. Risk management, lessons learned, and continuous quality improvement also fall under the umbrella of the PMO.
Responsibilities:
* Lead and develop the PMO into a best in class operation capable of driving and supporting programs effectively to meet aggressive business objectives and timelines.
* Develop and implement PMO processes and policies, direct project management staff, and work with other department leaders to define, develop and prioritize programs and projects.
* Implement best practices and empowering tools for project management to assist in future development of the PMO, make continual improvements to reduce timelines and maximize communications between cross functional teams under tight deadlines
* Responsible for tracking and managing all Capex/Opex financial objectives.
* Conduct resource planning sessions with the senior team to align project requests with company goals and ensure proper priority allotment.
* Provide weekly detailed reporting/metrics on existing project pipeline, financials, resource allocation, project status completion statistics, any variances to plan and forecasting of future needs.
* Provide monthly executive reporting.
* Diplomatically enforce use of standard project management processes and tools.
* Manage and lead a team of project managers and act as point of escalation. Ensure project health by measuring the variance in scope, schedule, cost and quality from the respective baselines.
* Implement standards for documentation, communication and overall Project Management procedures.
* Participate in the creation of an annual department strategy and forecast to present to senior management.
* Train and coach project managers to ensure delivery of quality program executions. Identify and recommend processes to be improved to drive continuous evolution in deliverable quality and execution.
* Analyze challenges, problems, and process breakdowns to ensure that lessons are learned and improvements are, well documented, communicated to leadership and implemented so future projects benefit from lessons learned
* Assess on-going risks and work in collaboration with business functional areas to mitigate risks.
* Lead annual audit for all programs/projects.
* Perform risk management and lessons learned meetings to support efficiencies and problem resolution.
Critical Competencies:
* Minimum 8+ years working within a PMO with at least 5 years previous management experience leading a team. Previous experience developing a PMO is desirable.
* Bachelor’s degree and at least 5+ years’ experience in technical project management leading complex projects involving highly technical projects for launches, ongoing management and product delivery.
* Highly technical, strong analytical, organizational, interpersonal, presentation and communication skills to interact with all levels of an organization is a must.
* Ability to discuss and present project status with Senior and Executive Management.
* Ability to prioritize and perform multiple tasks simultaneously, as well as work in a fast-paced work environment is critical.
* In depth knowledge of project management software (Microsoft Office tools like MS Project) and other PMO software.
* Strong interpersonal and management skills are required.
* PMP certification is an asset.
