The Role:
As Executive Assistant, you will assist the Content & Business Planning team by providing full administrative duties. In this role you will represent the department to both internal and external contacts. Much of the work performed requires discretion and thorough knowledge and appreciation of the Executive’s functional area. Experience and knowledge of the Bell Canada administrative & HR systems, tools and processes is a definite asset.
Reporting to the Vice President – Content & Business Planning, the successful candidate will manage the office of the VP & team.
Job Duties/Accountabilities:
The successful candidate will be responsible and accountable for the following:
- Processing incoming calls, mail and messages for appropriate action
- Executive schedule management
- Preparing, proofreading and issuing correspondence
- Preparing presentations and business documents
- Developing and implementing process improvements to maximize departmental efficiency
- Investigating and sourcing cost-effective purchases and practices
- Coordination & preparation of business analysis including generating reports as required
- Maintaining master filing system
- Processing confidential transactions
- Arranging, booking travel and meeting arrangements
- Managing invoice and expense payment
- Managing and provisioning office supplies
- Managing special projects and other duties as assigned
Critical Qualifications/Competencies:
The successful candidate should be highly motivated, proactive, enthusiastic, and results-oriented, with previous Bell Canada administrative experience. The following competencies must be demonstrated:
- Professionalism and exhibiting good judgement in representing the office of the executive
- Solid analytical skills with ability to draw insights and provide recommendations
- Strong organizational skills, self motivation and ability to handle multiple demands by prioritizing effectively
- Keen attention to detail and ability to work autonomously
- Demonstrated ability for team work, working under pressure and respecting deadlines
- Ability to anticipate potential issues, develop alternatives and take proactive action to maximize your Executive’s time
- Demonstrated ability to maintain the strictest confidentiality
- Strong interpersonal skills and excellent written and verbal communication skill
- Strong knowledge of Microsoft software (Word, Excel, Power Point, Outlook) and Explorer
- General understanding of basic financial concepts and tools
- Basic understand of human resources components and tools required
- General understanding of BCE corporate structure, strategies, products and services
Preferred Competencies:
- Bilingualism is an asset
