The Bell Residential Services team is in the business of enabling customers to connect with people, information and entertainment by delivering integrated products and service experience for consumers while enhancing our competitiveness in the marketplace. The team provides customers with Bell Home phone, local and long distance services, Bell Internet, Bell Satellite TV and amazing new technologies such as Bell Fibe TV.
The Real Estate administration team is a dynamic part of Bell family responsible for drafting and negotiating all leasing contract for all Bell and Virgin Mobile corporate and dealer stores, as well, as processing the monthly rent roll for all corporate Bell and Virgin Mobile stores, totaling over $3.5 M. The role:
Reporting to the manager, Lease administration, the Lease administrator is responsible for the building of Real Estate master data; preparation and processing of monthly rent roll for all corporate stores; database management and maintenance; percentage rent reporting to landlords; processing of utility/tax and year end adjustment invoices; producing reports and handling queries as required. Ensure all departmental policies and procedures are accurately followed.
Key responsibilities :
* Lease master data set-up and maintenance of lease data contracts
* Ensure all relevant updates and changes are entered in SAP in time for monthly rent roll
* Process bi-monthly rent roll for all corporate Bell and Virgin Mobile stores
* Prepare monthly and quarterly percentage sales reports for landlords
* Review, code and process all Real Estate invoices through Bell’s database
* Review realty tax and hydro reconciliations as required
* Abstracting key provisions from leases and ancillary documents and incorporating same into Bell’s property management system
* Keep accurate filing records of all lease documents and relevant correspondence
* Respond and resolve landlord payment requests/issues
* Keep track and collect tenant allowances
* Provide landlords with insurance certificates as required under the lease contracts
* Liaise with internal departments including accounts payable, finance, operations, leasing and construction for resolution of store related issues;
* Other administrative duties as maybe required for the position.
Critical competencies :
* Post secondary degree with focus in Real Estate, property management, accounting or business preferred
* Minimum 3 - 5 years experience working within retail leasing/property management environment
* Experience working with Real Estate leasing/property management programs
* Computer literate with fluency in Microsoft Office Tools (Word, Excel, Power Point)
* Excellent organizational, time management, multi-tasking, written and communication skills
Preferred competencies:
* Experience working with SAP
* Effective communication skills both verbally and in writing with managers, colleagues, and other individuals both inside and outside the organization
* Team player
* Ability to work independently and meet tight deadlines
Work conditions :
* Work schedule : Monday to Friday between 8h30am and 5H00PM
