Purpose and Scope
Under the direct guidance of the Senior Manager – HR & LR co-ordinates and tracks the Company’s Ontario grievances, to ensure compliance with Company policies, procedures and the respective collective agreements; responds to a wide variety queries from employees, managers and union representatives; assists the Senior Manager by preparing dockets and documents for grievance meetings, contracting out meetings, arbitrations, H&D and WV complaints, etc.; prepares related reports.
Major Accountabilities
Operations Ontario Support
* Tracks administrative and disciplinary actions given by managers to their employees; responds to a verbal and written requests from managers regarding their employees
Corporate Support
* Update when required and prepare org charts for posting
* Coordinates retirement items for retirees
* Assists with coordination of management rallies, as required
HR and Administrative Support
* Track complaints (H&D and WV), schedule mediation meetings & logistics, distribute mediator’s reports; assist Primes of Process in complying with applicable Policies
* Assist Communications by proofreading English documents, e.g. weekly Notepads, etc.
* Assist staffing and training group as required with interviews, reports, communications, etc.
* Provide monthly lists to Communications of employees celebrating service anniversaries
Labour Relations
* Tracks grievances; ensures applicable documentation is received from Regional Managers and Managers
* Schedules meetings, organizes logistics, and prepares documentation for Senior Manager – HR & LR, such as grievance Step 2’s, Contracting Out meetings, Joint Union-Mgmt meetings, arbitrations
* May attend various meetings on behalf of Senior Manager
* May assist with collective bargaining (Company meeting room & hotel logistics, scheduling simultaneous translation services, member of Company’s bargaining committee, organizing collective agreement printing and distribution)
* Prepare and distribute various LR reports: seniority lists, bi-monthly, census, demographic, O, OXP reports, Clerical probationary hours, Craft TPT accumulated hours
* Code and process LR invoices for payment
* Prepare and distribute calendars annually: Vacation, 1964, Annual and Periodic
* When requested, track & ensure union dues are directed to new locals for temporary transfers
* May perform other duties as assigned
REQUIRED QUALIFICATIONS AND EXPERIENCE
Educational Level Required:
- University Degree or College diploma in business/technology (focusing on telecommunications) and/or equivalent experience
Specific Experience:
- Excellent communication and presentation skills (verbal & written)
- Understanding of financial concepts
- Knowledge of Health and Safety practices and legislation
- Customer Relationship Management (CRM) skills
- Previous management experience in a unionized environment would be an asset
TECHNICAL KNOWLEDGE
Computer Knowledge:
Microsoft Office Suite: Word, Excel, Outlook and Access
Business Systems: (i.e. SAP)
