Responsibilities:

 

Provide to four (4) Service Directors administrative support mainly focused on:

  • Reviewing, coding and approving the invoices of four departments;
  • Co-ordinating and arranging travel for  four Directors;
  • Managing expense accounts of four Directors.

 

Related administrative tasks:

  • Co-ordinate and execute on on-site/off-site meetings and company events including logistics, catering, agenda, materials, minutes, and follow up;
  • Prepare and distribute the materials/reports/minutes of Manager Meetings;
  • Maintain corporate confidentiality at all times with sensitive materials;
  • Write/translate letters, memos, reports, and documents when necessary;
  • Work on various projects (independently and with others) as delegated;
  • Screening calls, mail scanning, filing, etc…

 

Qualifications required:

 

• Minimum of 5 years’ related work experience;
• University or College graduate;
• Complete confidentiality/professionalism is an absolute must;
• Exceptional organizational skills including the ability to be proactive, multi-task and meet deadlines with little supervision. Ability to work in a positive, team environment;
• Independent, resourceful, detail oriented, welcomes innovations and change;
• Strong follow-up skills;
• Strong interpersonal skills as well as excellent verbal and written communication skills;
• Computer Proficiency: Word, Excel, PowerPoint, Outlook, Photo Editor;
Bilingual (English/French);

• Knowledge of Ariba and SAP, an important asset
