The Bell Residential Services (BRS) Finance team is responsible for reporting results of one of the largest revenue generating business units in Bell Canada as well as one of the business’ growth areas. The team is responsible for financial planning, forecasting & reporting coordination across all expense lines. The team works closely with various finance teams, strategic planning and corporate groups. The mandate of the team is to deliver insightful financial information & analysis to the executive team to influence decision making and drive greater profitability, while ensuring financial integrity.
The BRS Finance team is seeking a professional, discreet and results oriented Administrative Assistant who possesses a broad base of administrative and coordination skills in a fast paced and challenging environment to support Finance Directors and their respective teams. The Administrative Assistant will provide confidential administrative, technical and reporting assistance. This includes producing a variety of material, reviewing and prioritizing materials, and maintaining the calendar and employee files.
Job Duties/Accountabilities :
- Provide administrative assistance to 4 Finance Directors and their respective teams
- Manage and prioritize the Director’s calendar and set up of meetings
- Coordinate weekly meetings for Directors including agenda and logistics
- Planning, organizing and coordinating internal meetings
- Processing inquiries and liaising with various departments and internal customers
- Maintains HR files; processes HR transactions in the HR system ensuring accuracy and meeting of deadlines.
- Order office supplies as well as handle phone, printer and workstation requirements
- Handle invoice payments
- Arrange / coordinate travel arrangements
- Manage special projects as required during the year
Critical Qualifications/Competencies:
- Initiative and ability to work with minimum supervision
- Solid organizational skills and ability to handle multiple inquiries/requests based on their respective priorities
- Strong PC skills ( MS Office – Excel, Word, PowerPoint, Outlook)
- Knowledgeable in APSS, Ariba and HR SAP System
- Ability to operate effectively under pressure
- Strong oral and written communication skills
- Strong interpersonal skills with the ability to interact with business partners of all levels
- Ability to learn quickly
- Outstanding attendance record
- Confidentiality / Discreet
- Highly developed sense of professionalism and ethics
- Previous experience
Bilingualism is an asset (English and French)
